The same client questions show up every week. Where is the file. What is the status. Can you also do this. When will you invoice.
Answering them from scratch is not the hard part. The hard part is answering them clearly when you are in the middle of the actual work.
A saved reply is a short message you can paste, then edit. It is not a script you send unchanged. Four that cover most of the week:
Status, when they ask for an update and you are still on track.
Say what is done, what is next, and when they will hear from you again. One date is better than "soon."File location, when they cannot find what you already sent.
Name the file, the folder or link, and the date you sent it. Offer to resend the same link. Do not redo the work.Extra request, when they ask for something that was not in the scope.
Thank them, name the new piece, and say you will send a short note with time or price before you start it. Then wait for a yes.Invoice timing, when they ask when to pay or you need to ask.
State the amount, what it covers, and the due date. Attach or link the invoice once. Do not apologize for billing.
Keep the replies in one page, next to a short FAQ of the answers you give more than twice. If you cannot find last month's version, you do not have a system yet. You have a search problem.
